ORGANIZATIONAL SUMMARY:
The College of Marine Science is a graduate focused program with 32 ranked faculty covering biological, chemical, geological, and physical aspects of marine science and resource assessment, ~100 graduate students, ~$15 million in annual research, a total endowment of ~$18 million, and ~80 full-time support personnel. The CMS hosts a range of state-of-the-art instrumentation and facilities, is home to the Florida Flood Hub, and is strategically located on USF?s waterfront campus in St. Petersburg. St. Petersburg is also home to many State and Federal research and operational agencies including the Florida Fish and Wildlife Research Institute, Florida Institute of Oceanography, NOAA National Marine Fisheries Service Southeast Regional Office, and the USGS Coastal and Marine Science Center. Together, these comprise one of the largest marine-science research complexes in the US.
POSITION SUMMARY:
The Shared Services Liaison / Fiscal & Business Analyst position will serve to connect the CMS faculty, staff, and students with the USF Shared Services departments, specifically, the BFSS and HR Embedded Services. The position will support CMS employees with their requests for travel, purchasing, PCard,
and HR actions with the appropriate external departments and contacts. The Fiscal Analyst will also support the fiscal and business activities of the College of Marine Science including, but not limited to, budget projections, audits, reconciliations, and other related duties.
RESPONSIBILITIES:
- Act as college liaison for Fiscal and HR Shared Services. Work with both Shared Service teams submit request tickets and resolve issues. Monitor and respond to Shared Services inquiries.
- Submit fiscal transactions for the College Budget Office. Maintain Pcard Holder privileges to make purchases and payments as needed. Monitor POs to ensure timely processing. Responsible for Year-End PO rollover. Order supplies and maintain a stocked supply room. Sort and disperse mail.
- Prepare monthly reconciliations for E&G, Auxiliary, Foundation and RIA accounts. Process accounting forms (deposit slips, expense transfers, chartfield requests, workflow etc). Assist with Audits, preparing reports, presentations and pulling data.
- Assist with annual budget tasks such as SCD Labor Plan, monthly projections, carry forward reports, budget system entry, fiscal year uploads, Fees, Year-End forecasts. Provide budget balances. Back up Budget Analyst.
- Complete HR/Payroll tasks such as RETS, pay distributions and Time and Labor/time sheets.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a Bachelor's degree in Accounting, Finance, or Business Administration or other field directly related to the position's specific responsibilities and 0-2 years of fiscal related work experience; or a Bachelor's degree in no specific required field and two years of fiscal related work experience; or four years fiscal related work experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
PREFERRED:
Preferred candidates will have experience working in a higher education environment and/or in a research environment. Knowledge of USF fiscal, travel, and purchasing policies and procedures is highly preferred.
