Assistant Property Manager (Project Management)
Location: 60 State Street, Boston, MA 02109

Reports To: Property Manager / Senior Property Manager
FLSA Status: Exempt
OVERALL PURPOSE OF POSITION
Supports the Property Manager by assisting with the management of the day-to-day operations of the property and helps to maintain good customer relations.
ESSENTIAL DUTIES & RESPONSIBILITIES
• Communicates with customers concerning building operations
• Coordinates customer moves
• Conducts property inspections
• Interacts with the clients, customers, and maintenance teams to meet the demands/needs within given parameters
• Coordinates repair and maintenance work
• Assumes responsibilities in the absence of the Property Assistant or Property Manager
• Prepares incident reports
• Coordinates customer receivable collections
• Helps in maintaining customer and vendor files
• Assists in the planning and coordination of customer functions
• Supervises on-site building staff which includes Lobby Receptionists, Administrative Assistants, Porters, Security Guards, and Loading Dock Attendants
• Assists Property Manager with preparation and administration of budgets and financial reports for Corporate and building owners and their representatives
• Assists in monitoring and coordinating building and/or customer construction projects
• Monitors and manages outside contracts (i.e. security, janitorial services, etc.)
• Assists with supervising Property Assistants
• Assists with the interview process and training employees
ESSENTIAL KNOWLEDGE & SKILLS
• Ability to read, and interpret documents such as leases, contracts, safety rules, operating and maintenance instructions, and procedure manuals
• Ability to write routine reports and correspondence; ability to speak effectively before groups of customers or employees of an organization
• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages; ability to apply concepts of basic algebra
• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; uses creativity and problem-solving to resolve issues with the possibility of unforeseen variables
• Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
• Financial skills including preparation of monthly accruals, variances for monthly reports, and preparation and administration of annual property budgets
• Computer skills (including Microsoft Word, Microsoft Excel, and electronic e-mail)
• Property management-related applications including; Nexus, Enertiv, Kastle, Realogic Budget, JD Edwards, and similar systems
• Ability to work with others as a team member to accomplish projects
• Ability to provide a high level of customer service and recognize and respond to the needs and be sensitive to the feelings and concerns of customers and employees; anticipating the needs of customers, as well as employees
• Ability to work within set standards and procedures, be able to receive guidance, supervision, follow work rules, safety and security practices, and meet deadlines
EDUCATION & EXPERIENCE
• Bachelor's degree from an accredited four-year college or university, preferably in Business, Accounting, or related field preferred
• 2-3 years of property management experience
