What will I be doing?

As an Event Manager , you will be responsible for assisting in the planning, organizing, and overseeing events that align with our goal of achieving Forbes 5-Star recognition. You will work closely with leaders and clients to understand their vision, needs, and preferences for events such as weddings, conferences, banquets, and corporate gatherings, ensuring each event reflects the highest standards of service and luxury. Collaborating with various hotel departments to ensure seamless execution. From initial planning to post-event follow-up, your attention to detail, strong organizational skills, and commitment to exceptional service will contribute to creating memorable, high-quality events that meet our aspirational standards for excellence.

Specifically, your essential functions will be to perform the following tasks to the highest standards:

• Assist in creating Banquet Event Orders (BEOs), meticulously detailing program itineraries, processing invoicing, and coordinating contracts, memoranda, and reports.
• Support the preparation of room blocks, GRIP reports, proposals, confirmations, and correspondence related to room and F&B cut-offs, while facilitating vendor coordination and managing key logistical arrangements such as loading dock access and transportation scheduling.
• Aid in the creation of performance and attrition letters, guarantees, group resumes, certificates of insurance, forecasting reports, and Banquet Check reconciliations, ensuring accuracy and compliance. Provide assistance with purchasing, rooming list management, and cross-departmental coordination.
• Organize, post, and distribute event order sheets with precision, ensuring seamless execution of all details.
• Manage the preparation and distribution of reports, event orders, resume packets, daily reports, and other key documentation with a keen eye for accuracy and timeliness.
• Handle correspondence with professionalism, process amenity requests, and coordinate supplementary guest services such as coat check and piano tuning. Provide on-site assistance and concierge-style support as needed.
• Oversee the receipt, sorting, and distribution of incoming mail, faxes, and packages to ensure efficient handling.
• Utilize the voicemail system to manage and announce appointments and calls, directing all incoming inquiries with poise and discretion

The rate of pay for this role is $36 - $38 per hour and is based on applicable and specialized experience.

The ideal candidate will possess the following qualifications:

• Must have one-year previous hotel or administrative experience.
• Delphi event order & diagramming experience preferred.
• Strong commitment to providing exceptional guest experiences and ensuring the highest standards of service.
• Ability to anticipate and respond to the needs and preferences of luxury clients.
• Skilled in handling sensitive issues with discretion, professionalism, and a positive attitude.
• Strong organizational and time-management skills.
• Excellent verbal and written communication skills.
